Uploading files to COORDINATOR

Last updated: August 13, 2026

Two places a file can go

COORDINATOR has two homes for a file, and picking the right one saves a lot of frustration.

Attach it to a chat when you want COORDINATOR to work with it right now — read a plan, pull numbers out of a spreadsheet, look at a clip. Use the paperclip in the message composer.

Put it in your library when you want to keep it. The library is storage: files stay there across conversations, and you can pull one into a chat later.

The practical difference is size. A chat attachment is capped at 100 MB. Your library holds much larger files — up to about a gigabyte each, limited overall by your plan's storage.

Size limits

WhereLimit per file
Chat attachment100 MB
Chat attachment, signed out10 MB
Library file~1 GB, within your plan's total storage
Workspace document upload25 MB

Total library storage depends on your plan — 2 GB on the free tier, 50 GB on Base, and 1 TB on Pro.

The limit that catches people out

A file in your library can be far larger than 100 MB. But pulling a library file into a chat still has to clear the 100 MB chat limit. So a 400 MB video will upload and store perfectly well, then refuse to attach to a conversation.

If you need COORDINATOR to actually look at something that big, make a smaller version — trim it to the part that matters, or export at a lower resolution. Adding video from Hudl walks through this for game film, where it comes up most.

What you can upload

Documents — PDF, Word (.doc, .docx), plain text, Markdown, rich text, OpenDocument (.odt), and HTML.

Spreadsheets and data — Excel (.xls, .xlsx), CSV, TSV, OpenDocument (.ods), JSON, JSON Lines, and Parquet.

Presentations — PowerPoint (.ppt, .pptx) and OpenDocument (.odp).

Video — MP4, MOV, WebM, and AVI.

Images — PNG and JPEG, among other common formats.

Audio — common audio formats.

If a file type isn't in the picker, converting to a common format first almost always works. Exporting to PDF is the reliable fallback for anything document-shaped.

What COORDINATOR does with an upload

Text-based files are read directly — COORDINATOR can quote from them, pull figures out, and answer questions about their contents. Spreadsheets and CSVs can be turned into workspace documents you keep working on.

Uploading is not the same as COORDINATOR having memorised the file. Each conversation works from what's attached to it. If you want something available repeatedly, keep it in your library and attach it when it's relevant.

Getting a file in from somewhere else

If what you want lives in another app, you have two routes:

Connect the app, if we integrate with it. Google Drive, Notion, and Dropbox let you pick a file without downloading it first. See all connections and integrations.

Export and upload, for everything else — download from the other tool, then upload here. Bringing content in from other apps covers the patterns that work best.

Common issues

The upload failed partway through

Large files over a patchy connection are the usual cause. Retry on a stable connection. If it fails repeatedly at the same point, the file may be larger than the limit for where you're putting it — check the table above.

"File too large"

Compare the file against the limits above, and note the chat attachment cap is lower than the library cap. Trim, compress, or split the file.

COORDINATOR can't read the contents of a file I uploaded

Some files are containers rather than text — a scanned PDF is a stack of images with no text layer, and COORDINATOR can't extract words that aren't there. Run it through OCR, or upload a text version.

Proprietary formats from specialist software often have the same problem. Export to PDF, CSV, or plain text first.

The file uploaded but the answer ignores it

Check the attachment actually appears on the message you sent. Attaching a file to one message doesn't carry it through a long conversation indefinitely — if you've moved on and want it again, re-attach it or reference it explicitly.

I'm out of storage

Delete what you don't need from your library, or upgrade for more room. Files attached to chats count towards the same storage.
